Terms of Use & Privacy Notice
In short: DRHI DispatchPro is the internal dispatch system of D’ Ranzo Hauling Inc. (DRHI). It keeps drivers’ names, contact numbers and photos, records a driver’s location only while they are on a trip, and keeps delivery photos as proof of delivery. This information is used only by DRHI to run its deliveries. It is not sold or used for advertising.
1. About this system
DRHI DispatchPro (“the system”) is the fleet dispatch system of D’ Ranzo Hauling Inc. It is used to create job orders, assign them to drivers, track trips, record proof of delivery, report truck maintenance and prepare reports. It was developed for DRHI as a capstone project at STI College Global City.
The system is for authorized DRHI dispatchers and drivers only. This notice explains what personal information the system handles, in line with the Data Privacy Act of 2012 (Republic Act No. 10173).
2. Information the system collects
| Information | Details |
|---|---|
| Account | Username, role (dispatcher or driver) and password. Passwords are never stored as typed: only a one-way encrypted version (hash) is kept. |
| Driver profile | Full name, mobile number, profile photo, and the assigned truck number and plate number. |
| Trips | Job orders given to the driver, and each trip status update (collected, in transit, delivered, back at the garage) with its time and location. |
| Location (GPS) | The location of the driver’s phone, sent only while the driver has an active trip and the driver dashboard is open, at most about every 15 seconds. No location is sent when the driver has no trip. |
| Proof of delivery | The delivery photo, its time, GPS location and city. These details, the container number and the driver’s name are printed on the photo. |
| Job alerts | If a driver turns on job alerts, a notification address for that phone’s browser (no phone number is used). |
| Security records | Login attempts, the IP address used, and actions done in the system (who did what and when), kept as an audit trail. |
The system keeps you logged in using your browser’s storage on your device. It uses no advertising or tracking cookies.
3. Why it is used
- To assign job orders fairly: the driver queue, MMDA number coding, the weekly schedule and the weekly job limit.
- To let dispatchers see where trucks are, estimate arrival times and follow up on deliveries.
- To keep proof that a container was delivered, where and when.
- To manage truck maintenance and prepare DRHI’s reports.
- To keep accounts secure and to find out what happened if something goes wrong.
4. Who can see it
- DRHI dispatchers can see driver profiles, trips, truck locations, delivery photos and reports.
- Drivers can see only their own profile, trips and deliveries.
- Some outside services are needed for the system to work, and only receive what they need:
- Cloud hosting (Railway) stores the system and its data. Its servers may be located outside the Philippines.
- Map and address services (OpenStreetMap, OSRM, Photon/Nominatim) receive map locations and coordinates to draw maps, plan routes and find city names. They do not receive names or phone numbers.
- Browser notification services (for example Google, Apple or Mozilla) deliver job alerts to drivers’ phones.
- Information may be shared with government authorities only when the law requires it.
DRHI does not sell personal information or use it for advertising.
5. How it is protected
- The whole site uses a secure, encrypted connection (HTTPS).
- Passwords are stored only as one-way hashes. Temporary passwords must be changed at first login.
- An account is locked for 10 minutes after 5 wrong password attempts.
- Logins expire after 24 hours, and changing a password signs out other devices.
- Each role sees only what it needs: drivers cannot open other drivers’ trips or the dispatcher pages.
- Photos are saved under random names that cannot be guessed, and hidden photo data (such as the phone’s own location tags) is removed from profile photos.
- Important actions are recorded in an audit log.
6. How long it is kept
Information is kept for as long as DRHI needs it for its operations, records and reports. When a driver is removed from the system, their account can no longer be used, but their past trips and proofs of delivery stay in DRHI’s records and reports. Requests to correct or delete information are handled by DRHI (see section 9).
7. Your rights
Under the Data Privacy Act, you have the right to:
- be informed about how your information is used (this notice);
- access the information the system has about you;
- correct wrong information (dispatchers can update driver details);
- object to processing, and ask for erasure or blocking, where the law allows;
- data portability and damages, where the law allows;
- file a complaint with the National Privacy Commission (privacy.gov.ph).
8. Terms of use
By logging in, you agree to the following:
- Authorized use only. Accounts are given by DRHI to its dispatchers and drivers, for DRHI work only.
- Keep your account to yourself. Do not share your username, password or recovery code. You are responsible for what is done with your account.
- Be accurate. Update trip status when it actually happens, and upload real, current delivery photos.
- Drivers: allow location on your phone while on a trip so dispatchers can follow the delivery. Do not use the app while driving. Stop safely first.
- No misuse. Do not try to access other people’s accounts or data, or to break, overload or get around the system’s security.
- DRHI may suspend or remove an account that is misused or no longer needed.
- Arrival times, routes and distances are estimates and may differ from actual road conditions.
- These terms and this notice may be updated. When a change affects drivers, they will be asked to read it again when they log in.
